Send through your own mail server (Gmail, Microsoft 365, SendGrid…)

By default flyhelpdesk can send customer email, but for reliable inbox delivery you should send through your own mail server. Admin → Channels has an Outbound mail server (SMTP) section with one-click presets.

Pick a provider preset

Choosing a provider fills in the host, port and encryption for you — you only supply credentials:

Provider Host Port Encryption
Gmail / Google Workspace smtp.gmail.com 587 STARTTLS
Microsoft 365 / Outlook smtp.office365.com 587 STARTTLS
SendGrid smtp.sendgrid.net 587 STARTTLS
Mailchimp (Mandrill) smtp.mandrillapp.com 587 STARTTLS
Amazon SES email-smtp.{region}.amazonaws.com 587 STARTTLS

Gmail / Google Workspace

  1. Enable 2-Step Verification on the Google account.
  2. Create an App Password (Google Account → Security → App passwords).
  3. In flyhelpdesk: preset Gmail, username = the full Gmail address, password = the 16-character app password.

Microsoft 365

  1. Ensure SMTP AUTH is enabled for the mailbox (Microsoft 365 admin center).
  2. Preset Microsoft 365, username = the full mailbox address, password = the account (or app) password.

SendGrid / Mailchimp / SES (API-key providers)

  • Username is literally apikey (SendGrid) or your SMTP username; password is the API key/secret.
  • These services also require you to verify your sending domain in their dashboard.

Set your identity and test

  1. Set the From address and From name customers will see.
  2. Save, then click Send test email — it goes to your own address. Check the inbox (and spam).

Tips

  • Always use an app password or API key, never your primary account password.
  • The From address should be on a domain you've authenticated (see the deliverability guide).
